Key Responsibilities

A. Administrative Management
• Manage daily office operations and ensure workflow efficiency.
• Maintain company records, trade licenses, vehicle registrations, and insurance renewals.
• Track attendance, overtime, and leave records for site and warehouse teams.
• Prepare purchase requests, compare quotations, and follow up on LPOs and deliveries.
• Maintain updated records for suppliers, subcontractors, and service providers.

B. Operations Coordination (Scaffolding C Equipment Rental)
• Coordinate project activities between warehouse, site, and operations teams.
• Manage delivery and collection of rental equipment (scaffolding, machinery, tools, etc.).
• Ensure all scaffolding and equipment movements are supported by delivery notes and client approvals.
• Track project progress and update work completion status in CRM.
• Coordinate with site supervisors/Operators for timely job completion, timesheets, and resource deployment.
• Maintain HSE compliance records and ensure all scaffolding and equipment certifications are valid.

C. Inventory C CRM Management
• Update scaffolding materials and rental equipment in the CRM/ERP system.
• Record material issuance, returns, and damaged items in real time.
• Monitor equipment utilization, rental status, and maintenance schedules.
• Conduct periodic stock audits and reconcile physical inventory with system records.
• Generate reports on scaffolding stock, equipment availability, and rental duration.
• Ensure CRM reflects accurate client and project data for ongoing and completed jobs.

D. Invoicing C Financial Coordination
• Verify job cards, delivery notes, and work completion certificates before billing.
• Prepare monthly scaffolding and equipment rental invoices in CRM.
• Ensure all invoices include correct hire durations, material quantities, and return details.
• Maintain the monthly Invoice submission tracker and Client acknowledgement copy in server.
• Track rental extensions, off-hire dates, and pending invoice approvals.
• Coordinate with the accounts team for payment follow-ups and client statements.
• Maintain invoicing tracker, outstanding report, and revenue summary per project.

E. Reporting C Communication
• Prepare daily, weekly, and monthly MIS reports on:
• Scaffolding material movement
• Equipment rental utilization
• Submit weekly reports on invoicing, payment collection, and project-wise profitability.
• Maintain transparent communication between management, warehouse, and project teams.
• Liaise with clients for scaffolding material balance stock confirmation, equipment handover details, and rental confirmations.
• Participate in site coordination and client meetings when required.

Requirements:
Skills and Competencies Required
• Strong coordination and multitasking abilities.
• Good knowledge of scaffolding materials, equipment types, and rental processes.
• Proficiency in CRM / ERP systems and MS Office (Excel, Word, Outlook).
• Attention to detail in inventory management and invoicing.
• Effective written and verbal communication skills.
• Ability to work under pressure and meet project deadlines.

Qualifications s Experience
• Bachelor’s degree or diploma in Business Administration, Operations, or related field.
• 2–3 years of experience in Operations / Admin / Coordination within Scaffolding or Equipment Rental industry.
• Hands-on experience in CRM or ERP inventory systems is essential.
• Knowledge of UAE construction and rental documentation procedures preferred.

• Accuracy of scaffolding C equipment inventory in CRM.
• Timely and error-free invoicing.
• Smooth coordination between warehouse, site, and office.
• Reduction in material loss or discrepancies.
• On-time reporting and client satisfaction levels.

Salary:
AED 4,000 to 4,800 per month inclusive of fixed allowances.
